Cancellation & Refund Policy

At Pictoniq, we understand that plans can change. This Cancellation & Refund Policy explains how cancellations, rescheduling, booking fees, and refunds are handled for our photography services.

By confirming a booking with Pictoniq, you acknowledge and agree to this policy.


Booking Fee

To secure your booking date and time, a 25% booking fee is required.

The booking fee:

  • Reserves your chosen date and time.
  • Covers administration, planning, and scheduling.
  • Is non-refundable, except where required under Australian Consumer Law.

A booking is not confirmed until the booking fee has been received.


Cancellation by the Client

If you choose to cancel your booking, the following terms apply.

More Than 30 Days Before the Session

  • Your booking fee remains non-refundable.
  • No additional payment will be required.

Between 14 and 30 Days Before the Session

  • The booking fee remains non-refundable.
  • Up to 50% of the remaining balance may become payable, depending on the preparation already completed and the likelihood of rebooking the date.

Within 14 Days of the Session

  • The booking fee remains non-refundable.
  • The remaining balance may become payable, as the reserved date is unlikely to be rebooked at short notice.

Pictoniq will always act reasonably and fairly when applying cancellation fees.


Rescheduling

We understand that unexpected circumstances can arise.

Clients may request one complimentary reschedule provided that:

  • Reasonable notice is given (preferably at least 7 days before the booking).
  • The requested new date is available.

Weather-related rescheduling for outdoor photography sessions will be accommodated wherever reasonably possible.

Additional rescheduling requests may incur an administration fee.


Late Arrival

Clients are responsible for arriving on time.

If a client arrives late:

  • Photography coverage may be reduced.
  • Session end times will generally remain unchanged.
  • Lost session time cannot be extended.
  • No refund or discount will be provided for time lost due to client lateness.

No Shows

If a client does not attend the scheduled session without prior notice:

  • The booking will be treated as cancelled.
  • The booking fee will not be refunded.
  • Any remaining balance may still become payable where applicable.

Cancellation by Pictoniq

In the unlikely event that Pictoniq must cancel a booking due to illness, injury, emergency, or circumstances beyond our reasonable control:

  • We will make every reasonable effort to arrange a suitable replacement photographer.
  • If a replacement cannot be arranged, all amounts paid to Pictoniq for the affected booking will be refunded.

This refund represents Pictoniq’s maximum liability for the cancellation.


Weather

Outdoor photography sessions may occasionally need to be postponed due to unsuitable weather conditions.

Where possible, Pictoniq will work with the client to arrange an alternative date at no additional charge.

Weather decisions are made with the safety of clients, guests, and equipment in mind.


Force Majeure

Pictoniq will not be responsible for delays or cancellations resulting from events beyond our reasonable control, including but not limited to:

  • Severe weather
  • Natural disasters
  • Bushfires
  • Floods
  • Government restrictions
  • Public health emergencies
  • Road closures
  • Power outages
  • Civil unrest
  • Other unforeseen events

Where practical, both parties will work together to reschedule the booking.


Refunds

Photography is a personalised creative service.

Refunds will not be provided simply because:

  • A client changes their mind.
  • Personal preferences differ regarding artistic style.
  • The client prefers different editing styles.
  • The client requests additional edits outside the agreed package.
  • Family members or guests have different opinions about photographs.

We encourage all clients to review our portfolio before booking to ensure our photography and editing style matches their expectations.


Australian Consumer Law

Nothing in this policy limits or excludes your rights under the Australian Consumer Law.

Where Pictoniq fails to provide services with the guarantees required under Australian law, clients may be entitled to remedies available under the Australian Consumer Law.


Gift Vouchers (If Offered)

If Pictoniq offers gift vouchers in the future:

  • Gift vouchers are non-refundable.
  • Gift vouchers are not redeemable for cash.
  • Expiry dates will be stated at the time of purchase.
